Yes, instructions on how to download & use the app will be sent to all attendees shortly before the summit.


Global Summit Registration

How do I register for the Global Summit?

Kindly request an invitation code at http://i-com.org/gs-registration-form. You will receive your invitation code within 48 hrs with the request to send us your billing information.

Is there an earlybird registration fee and by when do I have to register to receive it?

The earlybird registration was closed on December 31st 2015.To register for the Summit, kindly fill in the form on this link .

I have requested a invitation code to register for the Global Summit but haven't received any answer yet - how do I know my registration has been processed?

We answer all invitation code requests within 48 hrs. If you haven't heard from us, kindly contact Chetali Jain at cj@i-com.org

What are the fees for registration?

For information, kindly visit the Pricing page.

Can I remit payment in any other currency then Euro?

We can provide invoices in USD exceptionally. As receiving transfers in currencies other than EUR result in Bank fees from our bank, you will receive an invoice in the EUR equivalent.

What does the registration fee cover?

The registration fee includes your access to the Global Summit as well as meals at lunch & dinner and free WiFi throughout the conference area.

I was invited to speak at the Global Summit, do I still have to pay the registration fee?

Yes, as around 1/2 of the attendees are speaking, nominee speakers need to register as a delegate (special speaker rate), attend the full length of the conference and pay for any of their travel expenses. The reason for this policy stems from our desire to achieve the optimum interaction whilst keeping the delegate fee as low as possible for everyone.

I am a member of one of the I-COM boards, do I have to pay to attend the Global Summit?

Yes, generally, everyone attending is supporting the event by purchasing a Summit pass. The reason for that is that I-COM has over 300 people worldwide participating in various boards and juries and about 140 speakers at a Summit of around 300 attendees with exceptionally high production costs per person. I-COM offers Board Members a special discounted rate.

I would like to know who else is attending before requesting an invitation code. Can you provide me with an attendee list?

No, due to data protection legislation, we cannot provide you with an attendee list. However, shortly before the Summit all registered attendees will receive our Conference Programme Book with all attendees listed.


Speakers/Speaking Submission

I want to speak/present at the summit, how can I apply?

Speaking submissions are only accepted via our Call for Speakers. For more information about our selection criteria and how to apply, read carefully our information for speakers.

What is the deadline for submitting speaking proposals?

There is a revolving deadline at the end of every month for Board review. The earlier proposals are submitted, the higher the chance they'll be accepted by the Board. Proposals will be accepted on a rolling basis through January 15th, 2016, or until we have reached capacity.

I have sent you a speaking proposal, by when can I expect an answer?

The I-COM Global Summit Programme Board meets monthly to evaluate speaking proposals. However, the evaluation process might take more than one meeting and we might ask you to send us further information. If you would like to enquire the status of your speaking submission, kindly contact Cosima Jend at cjend@i-com.org.

I was approved to speak at the Global Summit, by when do you need my presentation?

We will organize a session prep call with your fellow speakers to develop the session, brief the speakers and discuss available timing. I-COM will have an official presentation template available for power-point and keynote which will be sent to you after the prep call. Use the template to create your draft presentation within 7 days and email it to us at slides@i-com.org. We will review your presentation and get back to you with feedback. The deadline for the final version of your presentation is April 10th, 2016. After expiration of the deadline we cannot guarantee that your presentation will be reviewed. Further information can be found in the speaker brief that you will receive in preparation for the session prep call.

I would like to do some last minute changes to my presentation during the Global Summit, will you still be able to implement them?

Yes, if for any reason, you have a last minute change to your presentation, kindly email it to slides@i-com.org with Vinny Hernandez in CC (vh@i-com.org) and provide our AV team in the Green Room at the Conference Hotel with your presentation on a memory stick at least 1 hour before your speaking slot.

I would like to include a short video in my presentation, is that an issue?

If you would like to add a video to your presentation, kindly come to the Green Room at least 24 hours before to test it on the show machines. Please supply all video clips as separate files (not embedded in your presentation!).

Are there any special requirements regarding my presentation?

Yes, kindly read carefully the Speaker Brief that will be sent to you closer to the event.


Data Venture Challenge

Is there an entry fee to participate in the Data Venture Challenge?

Yes, the entry is EUR 49,-

Our company is 6 years old and the website says the company should be 4 years old, can we still enter?

Yes, Age of the Company is just one of the factors. If this is your situation, kindly send us your queries using the "comments" section of the entry form. We will evaluate the situation and revert to you.

Can we enter more than one entry for Data Venture Challenge?

No, each company is only allowed one entry for Data Venture Challenge.

Can we submit entries for both Data Venture Challenge and Data Creativity Awards?

Yes, it is an option but not a requirement.

How are Data Venture Challenge entries evaluated?

Data Venture Challenge entries go through a first round of judging before the Summit, where judges evaluate them and establish the Official Selection nominees. Once all nominees are confirmed, one representative from each startup has to attend the Summit to go through a second round of judging, presenting live on stage. The jury will establish the winners, who will be announced at a special Gala Awards dinner.

Does the entry fee payment of EUR 49,- cover everything?

No, the Entry Fee only covers the entry processing fees. If your entry has been chosen as an Official Selection finalist, you have to attend the Global Summit and pay a discounted Summit Registration Fee of EUR 1.890,-. The Registration Fee includes your participation during the second part of the competition, as well as giving you access to the two-day Global Summit conference, including meals at lunch & dinner and free WiFi throughout the conference area.

Do we need to attend the Global Summit?

Yes, if your entry has been chosen as one of the Official Selection finalists you need to attend the Global Summit to stay in the competition.

Do you issue invoices even if we pay via credit card?

Yes, kindly send us the details for the invoice (billing address) and it will be sent to you.

Does my entry necessarily need to have any supporting material?

No. This is an option, but not a requirement.



Data Creativity Awards

Can we have more than one Data Creativity Awards entry?

Yes, you can send us multiple entries.

Is there an entry fee to participate in the Data Creativity Awards?

Yes, the entry fee is EUR 520,- Price for applying to compete in an additional category is EUR 200,- . You can choose any combination of two categories you would like to compete in and there is a maximum of two categories you can select per entry.

How are Data Creativity Awards entries evaluated?

Data Creativity Awards entries go through a first round of judging before the Summit, where judges evaluate them and establish the Official Selection nominees. If an entry is nominated by the I-COM Data Creativity Awards jury as part of the Official Selection, at least one team member or a qualified representative from each shortlisted company needs to register and attend the Summit to participate in the second round of judging, presenting live on stage. The jury will establish the winners, who will be announced at a special Gala Awards dinner.

Do we need to attend the Global Summit?

Yes, if your entry has been chosen as one of the Official Selection finalists you need to attend the Global Summit to stay in the competition.

Do we need to pay an additional fee aside from the entry fee of EUR 520,- we paid already?

Yes, if your entry has been chosen as one of the Official Selection finalists you need to attend the Global Summit and you have to pay a discounted Summit Registration Fee of EUR 1.990,-. The Registration Fee includes your participation during the second part of the competition, as well as giving you access to the two-day Global Summit conference, including meals at lunch & dinner and free WiFi throughout the conference area.

Our entry has made the official selection. Can I take my client with me to present during the Global Summit?

Yes, every official selection finalist can have 2 representatives per entry. Kindly register your client here for the Global Summit.

Our sister company from the US is attending the Global Summit, can our representative present our entry as one of the Official Selection finalists on the Global Summit?

No, this is only possible if the presenter is directly involved in the project.

Our company is a strategic partner of I-COM, do we have to pay the Data Creativity Awards entry?

I-COM's Strategic Partners get one free complimentary Data Creativity Awards entry.

Can one entry win in two categories?

To increase your chances of being shortlisted during the first round of judging, you can submit your entry to compete in a maximum of two categories. If your entry is being shortlisted, you will need to choose in which category you would like to compete during the second round. Hence, your entry can win in the category of your choice, and it could also win the Overall Winner Award or the Emerging Market Region Award, if your case is based in one of those countries.

What is addendum?

If you are submitting an entry for more than one category, you need to add an addendum addressing the specific Data Creativity Elements for the additional category.

Please find below some tips given by our jury members regarding the addendum for the 2nd category:

  • It would be helpful for you to address each specific criterion or element specified for the 2nd category. Tip would be for each response to an element to be as succinct as possible. A call-out to your solution's clever feature as proof point would help the judges in understanding how that particular element was satisfied.
  • You need to remember that the jury will be reviewing a vast array of submissions. So the best advice we could give would be to ensure as best as you can that your submission against the criteria stands out.
  • It could take the form of a written response to each element. However, a more effective method would be to provide both a description as well as proof points and/or visualisations to further explain why this particular approach shows more ingenuity or better results than the competition on the criteria.

Is my confidential information safe?

The information you insert will be used only for the purposes of the competition. Whilst it will be made clear to the judges that the judging process is confidential, entrants may wish to express results in percentage terms rather than by providing the actual figures. If there are parts of your entry that are confidential and cannot be later published, you can state this on the entry form.

I lost my entry, was it saved?

We recommend you to look at the Entry form first, then spend time offline composing your answers in a word-processing program, keeping a copy for your record. Once you start to enter the information online, the submission can not be saved for later review or completion.

Do I need a sponsoring company/university to apply?

Not necessarily, Students & Startups can participate independently in Tier 2. Please see our overview page for further information.

What will the sponsorship cover? Will my travel and hotel expenses be paid?

No, while lunch & dinner are included in the fee, travel & accommodation expenses are not.

I'm going to miss the application deadline. Can I have an extension?

We grant extensions on a case-by-case basis. If you need an extension, please email Elsa Arevalo at ea@i-com.org.

What should I bring with me to Madrid?

Please take your computer & USB drive with you to Madrid.

What's the format of the final presentations? Who will be in attendance at the final presentation?

The Hackathon Finalists will present in front of the I-COM audience on Tuesday, April 19th as part of the I-COM Global Summit. I-COM will provide a presentation template.

Will I be able to test my data before presenting?

Yes, there will be a Saturday night work-in-progress screening as a first chance to test your data.


Travel & Accommodation

Does the registration fee cover any travel and/or accommodation costs?

No, travel and accommodation costs are not covered by the registration fee.

How far is the summit hotel located from the airport?

The Summit Hotel is a 20 minute taxi ride from the airport. (13km)

Which social activities are included in my Global Summit pass?

How can I book the social activities not included in my summit pass?

I'm bringing my spouse/friend/family, can they attend the social activities?

Yes, they can join our Significant Other Programme.

Our travel itinerary has not been finalized yet, if I book a social activity for my significant other and she/he has decided not to attend can you make a refund?

Yes, in this case we can offer you a refund.

What is the dresscode for the gala dinner?

The dress code for the Gala Dinner is Black Tie Preferred.
