Terms & Conditions - Delegate & Sponsors Delegate Participants

The Terms & Conditions outlined represent a contract between you the delegate applicant herein after referred to as ‘Delegate’, and the event organiser I-COM Global Private Limited herein after referred to as 'I-COM', for attendance to and participation in the I-COM Global Summit herein after referred to as ‘Summit’.

By completing the I-COM Global Summit Delegate Registration Form and clicking the 'Send Information' button, Delegate agrees to the Terms & Conditions.

Delegate Requirements

As the interaction between Delegates is a key part of the Summit, I-COM has created a specific Delegate profile to ensure a high-quality experience. Delegates are individuals who are champions of data, employed by advertisers, agencies, media owners or related consultancies, associations or National JIC organisations or ABCs.
Vendors of Research or Data services cannot be a Delegate, but are welcome to participate as a Sponsor.
I-COM reserves the right to refuse any Summit registration application if it does not meet the above Delegate profile or exceeds the reasonable number of delegates for any given country.

Registration Confirmation

If payment is not received within 30 days of the date of application I-COM reserves the right to void Delegate registration.  
Upon receipt of full payment I-COM will issue a registration confirmation by email within seven working days. 
Summit attendance without payment is not possible.

Summit Documentation

Delegate will be provided with a comprehensive Summit documentation pack upon arrival at the Summit.

Summit Directory

Unless Delegate states otherwise at the time of registration, I-COM will display Delegate name and details in the Summit Directory.

Release

Representatives of Press & Media will be present during the Summit.  As such, Delegate grants to I-COM the right and unrestricted permission to use Delegate name, image, voice, and/or appearance as may be embodied in any photos, video recordings, audiotapes, digital images, and such, taken or made on behalf of I-COM or its partners. 
Delegate agrees to release to I-COM complete ownership of such material and grants I-COM use of said material for any purpose consistent with I-COM’s mission. Uses include but are not limited to; advertisements, press releases, publications, videos, websites, and any publicity or promotional materials in any medium. Delegate acknowledges that they will not receive any compensation for the use.

Payment

I-COM accepts payment by bank transfer or major credit card.  Details are specified on all I-COM invoices.  I-COM does not accept payment by cheque.  Please note; all I-COM payment transactions are made in Euro.

Insurance

I-COM advises Delegate to take a comprehensive travel insurance policy. Delegate should ensure that they have adequate medical, liability, personal accident and other insurance to cover them for the full duration of their trip. Delegate is responsible for their health and safety throughout the duration of the Summit. I-COM does not accept any liability.


Cancellation

Cancellation by I-COM

Should circumstances arise outside of the control of I-COM that necessitates the cancellation of the Summit, Delegate registration fees will be refunded in full. 
The liability of I-COM in the event of cancellation will not exceed the total amount paid by the Delegate to I-COM in respect of the registration fee. 
I-COM strongly advises all Delegates to take out a comprehensive travel insurance policy.  I-COM does not accept any liability for loss of travel, accommodation or other expenses incurred as a consequence of the cancellation of the Summit. Further, I-COM does not accept liability for any loss including but not limited to incidental or consequential damages.

Cancellation by Delegate

If the Delegate finds they are unable to attend the Summit after registering, I-COM has 2 cancellation options:

1. Transfer of Delegate booking to a colleague: one replacement delegate per registration is permitted. Any transfer must be confirmed in writing to I-COM register@i-com.org on or before 7 working days in advance of the first day of the Summit. 

2. Cancel Delegate registration: Cancellations must be requested in writing to register@i-com.org.  Cancellation must be confirmed by I-COM on return email to Delegate for registration to be deemed cancelled. 

An administration charge will be applied to cancellation refunds as follows:

  • Cancellations made up to 30 days before the start of the Summit: 5% administration charges.
  • Cancellations made between 29 and 15 days before the start of the Summit: 20% administration charge.
  • Cancellations made between 14 and 7 days before the start of the Summit: 50% administration charge.
  • Cancellations made less than 7 days before the start of the Summit: 100% administration charge.

For the benefit of doubt the first day of the Summit is deemed to be Monday, April 24, 2017.

Overseas Applications

If the Delegate is a resident outside of the European Union (EU) it is the sole responsibility of the Delegate to ensure that they have a valid travel visa and that they comply with all the immigration requirements prior to submitting the registration request.

Once payment has been made cancellation fees are applied in accordance with our Terms and Conditions.

If any Delegate does not hold valid travel documentation or visa or does not meet the immigration requirements and is unable to attend the Summit as a result, I-COM reserves the right to levy the full cancellation fee.

Force Majeure

Except for payment obligations, neither Delegate nor I-COM will be liable to the other for damages arising out of delays or failures to perform under the specified Terms & Conditions, provided that any such delay or failure to perform hereunder is caused by factors beyond the reasonable control of the party so affected.

Entire Agreement

The Terms and Conditions outlined are the only terms governing the registration. Any other terms are expressly excluded.
